Key Responsibilities

  • Order Management & Customer Service

    • Receive, process, and monitor customer orders in the ERP system (Microsoft Dynamics NAV), ensuring all customer requirements are met throughout the order fulfillment process.

    • Create invoices and credit notes in Navision.

    • Prepare individual quotations in close cooperation with the field sales team.

    • Respond to customer inquiries and complaints in a professional and timely manner.

    • Handle order-related correspondence with international customers.

    • Manage customer complaints and ensure appropriate resolution.

  • Logistics & Export Operations

    • Plan and coordinate logistics and transportation activities in collaboration with freight partners.

    • Prepare customs and export documentation for shipments within the EU and to third countries.

    • Ensure compliance with international trade and export requirements.

  • Team Leadership & Process Management

    • Lead, coach, and support a small Customer Service / Sales Administration team.

    • Ensure efficient day-to-day operations and continuous development of team members.

    • Monitor team performance, set priorities, and allocate workloads effectively.

    • Drive process improvements to enhance customer satisfaction and operational efficiency.

    • Act as the primary escalation point for complex customer service, logistics, and order management issues.

Requirements

  • Professional Experience

    • Successfully completed commercial training as a Wholesale & Foreign Trade Merchant or in the field of Export & Logistics.

    • Several years of experience in international trade administration, export operations, customer service, or sales support.

    • Hands-on experience with import/export procedures, customs documentation, and international trade administration is required.

    • Experience supporting both internal stakeholders (e.g., field sales teams) and external stakeholders (customers and suppliers).

 

  • Technical Skills

    • Proficient in Microsoft Office applications.

    • Experience working with ERP systems; Microsoft Dynamics NAV experience is preferred.

 

  • Language Skills

    • Excellent written and spoken German and French.

    • Additional language skills are considered an advantage.

 

  • Personal Competencies

    • Strong communication and interpersonal skills.

    • Team-oriented mindset with a customer-focused approach.

    • Independent and detail-oriented working style.

    • Previous team leadership or people management experience is highly desirable.

    • Ability to motivate, develop, and coordinate team members in a collaborative environment.
