An international company operating in the investment, construction and real estate industry is looking for an Executive Assistant / Office Manager (f/m/d) for its brand-new office in Wiesbaden. The ideal candidate must have at least 3-5 years of professional experience in executive assistant / office manager , preferably in a similar industry.

· Act as a point of contact between managers, employees, customers and external partners

· Manage information flow in a timely and accurate manner

· Manage executive calendars and arrange meetings

· Making travel arrangements and booking accommodations

· Preparing weekly, monthly, or quarterly reports

· Overseeing the performance of the office staff

· Act as office manager by keeping track of materials inventory in the office

· Format information for internal and external communication, such as memos, emails, presentations, reports

· Taking minutes of meetings

· Answering calls and forwarding after screening and distributing correspondence

· Organize and manage a filing system

· Tracking, managing and reporting expenses

· Providing general administrative support




· Bachelor’s degree from a university is preferrable

· Proven professional experience as Executive Assistant, Personal Assistant or in a similar function

· Business level German and English language skills

· Excellent MS Office skills

· Exceptional organizational and time management skills

· Solid knowledge of technical office equipment and applications

· Excellent written and verbal communication skills

· Discretion and confidentiality

· Flexibility in working hours
