COMPANY OVERVIEW

 

A well-established international organization in the specialty insurance sector is seeking a part-time Assistant to support its General Affairs department and provide dedicated services to Japanese expatriates at its Düsseldorf office. JOB RESPONSIBILITIES

Japanese Expatriate Support

  • Assist with relocation logistics including housing, administrative documentation, embassy visits, and family/school arrangements.

  • Coordinate with payroll providers on tax and personnel matters.

  • Manage expense accounting and online banking processes.

  • Prepare and submit monthly accounting reports.

General Affairs

  • Arrange travel, accommodation, and dining as needed.

  • Manage front desk operations including visitor reception, phone handling, and mail distribution.

  • Oversee office maintenance, including cleaning schedules, property management, and supply inventory.

  • Ensure all utilities and facilities are operational and maintained.

  • Organize internal events and catering services.

  • Maintain accurate records and report to supervisors.

  • Adhere to company policies and professional standards.

  • Support additional administrative tasks as assigned.

 

JOB REQUIREMENTS

  • Must possess a valid visa that allows immediate commencement of work.

  • Bachelor’s degree in any discipline.

  • Several years of experience in office administration.

  • Fluent in English, Japanese, and German.

  • Proficient in Microsoft Office applications.

  • Strong interpersonal and intercultural communication skills.

  • Discreet, dependable, and courteous.

  • Excellent organizational and time management skills.

  • Service-oriented and proactive team player.

     

PREFERRED SKILLS AND EXPERIENCES

  • A proactive approach with strong attention to detail

  • Experience working in or familiarity with Japanese companies is a plus
